An Office Ulam Subscription for Ten: Five Lunches, One Calendar, No Surprise Waste

A five-day office lunch subscription can work only if the cook records reservations, portion cost, safe pickup times and cancellations before ordering ingredients.

In this article

Ten office workers create fifty possible lunch slots across a five-day week. They do not automatically create fifty orders. One work-from-home day, an appointment or a meeting away from the office changes the food count. Start with a one-week pilot: a stated daily menu, individual reservations, an order deadline and a collection arrangement that keeps the meal in good condition. The useful test is whether each confirmed lunch reaches the right person on time.

Turn ten interested people into confirmed meal counts

Use one row per worker and one column per day, marking rice included, the agreed dish and any ingredient requirements. An illustrative week might have 10, 8, 7, 7 and 6 confirmed meals: 38 in total. A chicken adobo day still needs its own portion specification and cost sheet. Check substitutions with the person ordering; a meat-free dish may still contain egg, milk, soy or other allergens. Keep the ingredient instructions available to the cook and avoid publishing diners’ personal information. Source 1

Cost the whole week without hiding unsold portions

Cost ingredients, rice, condiments, fuel, packaging, washing, transport and paid work actually attributable to the orders. In a hypothetical pilot, 38 fulfilled meals at ₱110 generate ₱4,180. If the listed variable fulfilment cost is ₱82 each, it totals ₱3,116 and leaves ₱1,064 toward fixed costs and the owner’s return. This follows ordinary carinderia plate costing, with a separate line for subscription cancellations. Food purchased for cancelled meals, fixed overhead and any owner labour not already counted still have to be covered. Replace the example prices with receipts.

Write a collection clock that the kitchen can honour

Write the cooking, dispatch and collection times on the daily sheet. For hot meals, verify the food remains at least 60°C; for chilled meals, keep it at 4°C or below. A pickup window such as 11:45–12:30 is workable only if the kitchen can maintain that control through the handover. Without temperature control, the usual limit for perishables is two hours, shortened to one hour above 32°C. Count exposure across preparation, travel and collection rather than restarting the clock at the office. Source 2

Decide what happens after the order closes

Agree before payment whether a cancellation can become a refund, a credit or a transfer to a named colleague, subject to applicable consumer requirements. Keep three figures distinct: meals ordered, meals fulfilled and payments still owed back or carried forward. If a person misses pickup, the meal’s handling history decides whether it can still be used; an order payment cannot extend its safe life. At the end of the pilot, record late collections, rejected meals and food bought for orders that never reached service. Source 2

Run and reconcile the first week

  1. Set a five-day menu with one fixed lunch-pickup window.
  2. Collect each person’s daily order and special ingredient requirements before the cutoff.
  3. Calculate ingredient and full fulfilment costs from the confirmed daily counts.
  4. Cook and hold or chill meals under a documented safe-temperature plan.
  5. Reconcile sales, cancellations, food waste and actual profit at week’s end.

Illustrative subscription worksheet

  • Confirmed daily counts — Calculation: 10 + 8 + 7 + 7 + 6 = 38; Meaning: Use actual attendance, not office membership.
  • Revenue from fulfilled meals — Calculation: 38 × ₱110 = ₱4,180; Meaning: Separate unfulfilled deposits and refunds.
  • Listed variable costs — Calculation: 38 × ₱82 = ₱3,116; Meaning: Record cancellation waste separately.
  • Amount left toward fixed costs — Calculation: ₱4,180 − ₱3,116 = ₱1,064; Meaning: This is not net profit.

These are editorial arithmetic examples, not surveyed office prices.

What to change for week two

Keep the dishes people ordered reliably, adjust the cutoff if it was too late for shopping, and reduce the collection window if food waited unnecessarily. A subscription becomes easier to run when tomorrow’s count is known and yesterday’s obligations are settled. More names in a group chat are useful only when they turn into confirmed meals the kitchen can deliver.
