A School Bake Sale’s Break-Even Box: Price Puto and Cookies Before Taking Orders

A parent-led school bake sale needs a real box cost, explicit permissions, safe ingredient labels and an honest donation calculation before announcing a fundraising target.

In this article

A school group announces a puto-and-cookie bake sale to raise money for an activity. Volunteers donate labour, someone pays for packaging and a poster promises that every ₱60 box helps the school. But the group has not yet counted butter, sugar, mould liners, transport or unsold stock. Fundraising is easier to understand when each proposed box has an actual recipe, yield, direct cost and a clearly stated donation amount, with the school’s approval obtained first.

Start with permission and the real selling arrangements

Confirm the school allows the fundraiser, who receives cash, where food can be prepared, whether school food rules apply and who signs off the sales ledger. Do not use the school’s name or student images as an implied endorsement without permission. Collect orders through a controlled channel, preferably without giving children responsibility for storing payments or allergy information. Selling food can involve applicable permits and sanitation requirements; the group should check with the school and local authority rather than assuming a charity purpose makes those obligations disappear.

Test the recipe and count complete, usable boxes

Use one complete puto recipe and one cookie recipe, then measure the number of acceptable pieces and the pieces promised per box. Puto production yield must be established in the actual moulds before taking orders. Keep food-allergy information from the real ingredients and review any supplier changes. If puto and cookies share an outer gift box, use suitable separate inner packaging: moisture from the puto should not soak the crisp cookies. The box’s holding plan must still accommodate its perishable component. Source 1

Calculate the break-even quantity and the donation separately

Use a hypothetical ₱60 selling price, ₱37 variable cost per box and ₱460 of fixed event costs. The SBA break-even formula is fixed cost divided by price minus variable cost: ₱460 ÷ (₱60 − ₱37) = 20 boxes. This assumes boxes are produced to confirmed sales and the costs behave as stated. If 48 boxes sell, revenue is ₱2,880, variable cost is ₱1,776 and the amount left after the ₱460 fixed cost is ₱644. Deduct any other actual costs before calling it the donation. If all 48 boxes have already been made and paid for, ₱2,236 is committed; recovering that amount at ₱60 requires 38 paid boxes, rounded up from 37.27. Unsold production changes the question. Design a safe pickup rather than a display of warm sweets

Arrange short pickup slots and prompt chilling for moist puto rather than displaying packed boxes at a sunny gate for an afternoon. Let visible steam escape on a clean rack, then refrigerate perishable food promptly within two hours, or one hour above 32°C. Keep it at 4°C or below while awaiting chilled collection. Package dry cookies appropriately and keep the puto’s moisture contained. If disruption changes the event, agree a feasible pickup or refund arrangement before the food’s handling history becomes uncertain. Source 2

Price, produce and hand over the fundraiser

  1. Confirm school approval, selling rules and the fundraising beneficiary.
  2. Record recipe ingredients, allergens, real yield and the count per box.
  3. Calculate costs, permitted sales price and potential donation separately.
  4. Take confirmed orders and prepare products under safe conditions.
  5. Reconcile sold boxes, waste, cash and the amount actually donated.

Two different break-even questions

  • Produce only confirmed sales — Calculation: ₱460 ÷ (₱60 − ₱37); Result: 20 boxes cover the listed costs.
  • All 48 boxes sell — Calculation: ₱2,880 − ₱1,776 − ₱460; Result: ₱644 before any unlisted cost.
  • All 48 already produced — Calculation: Committed cost is ₱2,236; Result: Selling 38 at ₱60 recovers that amount.
  • Donation transferred — Calculation: Actual surplus after every agreed expense; Result: Record the payment to the beneficiary.

Hypothetical inputs. Donated labour and supplies must be identified; the calculations do not establish current school-sale prices.

Publish the amount actually handed over

At closing, reconcile paid boxes, refunds, costs reimbursed to volunteers and the donation transferred. Name donated ingredients or labour separately so supporters understand how the surplus was achieved. Keep gross revenue out of the “donation” headline unless the group genuinely donated the full sales proceeds and funded every cost separately.
